Export your tax report (PDF and CSV)

Short answerOpen the diary from the menu bar, choose Reports, pick the tax year, then click Export PDF… or Export CSV… and choose where to save. Exporting is a WFH Diary Pro feature. The report shows your confirmed hours, the rate for each period and the amount to claim, cents dropped.

How to export your report

You export from the Reports screen in the diary window. It takes a few clicks.

  1. Click the WFH Diary icon in the menu bar, then Open Diary.
  2. In the sidebar, choose Reports. You can also click Export for my tax return on the Year screen.
  3. If you have records for more than one year, choose the year from the Tax year menu.
  4. Check the Deduction section. Amount to claim is the figure for your return.
  5. Click Export PDF… or Export CSV….
  6. Choose where to save the file and click Save. The file name includes the tax year and the date and time you exported it.

If you’re on the free version, the export buttons show a lock and open the WFH Diary Pro screen. Tracking, the diary and your estimate stay free.

Before you export

Answer anything outstanding first, because only confirmed days count. The Compliance section on Reports shows your accounted and unaccounted days, and Review lists days still to confirm and away periods to answer.

WFH Diary recalculates before every export, so the file always matches your latest answers. Click Recalculate if you want to refresh the figures on screen.

What’s in the PDF

The PDF is a summary you can keep or give to your tax agent.

  • Total confirmed hours, the rate applied and the amount to claim, cents disregarded rather than rounded
  • A rate breakdown if the year spans more than one rate
  • A summary of time away from the computer: worked, breaks, and any not answered (not claimed)
  • The bills you’ve ticked as kept or attached
  • A daily breakdown with the date, hours, status and where the hours came from

If you’ve told WFH Diary your employer pays or reimburses all your home running costs, the report warns that you can’t use the fixed rate method for that year.

What’s in the CSV

The CSV has one row for every session, for a spreadsheet or your tax agent. Columns include the date, start and end time, duration, device, source, whether it was confirmed, edited or left out, when it was recorded, and whether it was added later. Hours from Suggest past hours have the source “Suggested” and are always marked added later. Away periods follow, with your answer and when you gave it.

The free alternative: the printable worksheet

On the free version you can still print your sessions. On Reports, under Printable worksheet, turn Only days still to check on or off, then click Print worksheet…. The print panel can also save it as a PDF.
