Features

Short answerWFH Diary is a Mac menu bar app that records when your Mac is in use, asks about longer pauses, and lets you confirm each day as worked from home. It is built for the ATO’s 70c fixed rate method. Tracking, the diary and bills are free. Pro adds PDF and CSV reports.

Tracking

WFH Diary records your actual hours automatically, at the time, from the moment you start using your Mac. It lives in the menu bar and needs no special permissions to track.

  • Automatic sessions. It notices when your Mac is in use, and when it goes idle, locks or sleeps.
  • Short pauses count. A gap under 15 minutes counts as work. For a longer gap, it asks whether you were working (calls, meetings and reading count) and records your answer and when you gave it.
  • Pause from the menu bar. Pause when you don’t want time recorded. It stays paused through quit and relaunch until you resume.
  • Open at login and daily reminders. Start it with your Mac, and get a reminder to confirm your hours at a time you choose, on workdays only or every day.
  • Two or more Macs. iCloud sync brings sessions from all your Macs together, and overlapping time is counted once.

Reviewing

You confirm each day, because the app knows when your Mac was in use but not where you were. Most days that’s one click.

  • Review shows only what needs an answer: today, days ready to confirm, away periods, and weekdays with nothing tracked.
  • Day shows each block of work. Leave out any session that was at the office or wasn’t work.
  • Week and Year show your totals and which days still need an answer.
  • Manual entries. Add hours by hand when you need to. Hours added for a past day are labelled “added later” in your report.
  • Quiet days. Weekends and national public holidays with no activity are marked “No work” automatically. You can turn this off.

Tax time

WFH Diary keeps the records the fixed rate method asks for (PCG 2023/1) and shows a running estimate of your claim.

  • A running 70c estimate of your fixed rate deduction for the tax year.
  • Bills to keep. A checklist for electricity or gas, internet, phone, and stationery, with bill attachments (PDFs and images up to 25 MB).
  • A printable worksheet of your sessions, with an option for only the days still to check.
  • Eligibility check. If your employer reimburses all your running costs, say so in Settings and your report warns that you can’t use the fixed rate.
  • PDF and CSV reports (Pro) for any tax year, with the rate for each period and the amount, cents dropped.
  • Suggest past hours (Pro). For days before you installed the app, WFH Diary can suggest sessions from file activity your Mac recorded, found through Spotlight. You check every suggested day before it counts, and your report marks those hours “added later”. Suggestions can miss time and aren’t a record kept at the time.

Privacy

WFH Diary records when your Mac is in use, never what you do on it.

  • No app names, window titles, URLs, screenshots, keystrokes, location or account details.
  • Your data stays on your Macs and in your private iCloud. There’s no account to create.
  • No third-party SDKs and no analytics.
  • Records are kept until you delete them, in Settings, Privacy, Delete all data.

Free vs Pro

Everything you need to keep the diary is free. Pro, A$14.99 a year or A$39.99 once for life, is for getting your records out at tax time.

What WFH Diary doesn’t do

It doesn’t lodge your return or connect to the ATO. You copy the amount into myTax or give the report to your tax agent. It runs on macOS 14 Sonoma or later, and there’s no iPhone or Windows version yet. WFH Diary is not affiliated with or endorsed by the Australian Taxation Office.

Questions

Does WFH Diary need special permissions to track?

No. Tracking needs no special permissions. Notifications are optional and only used for reminders and to ask about longer pauses.

Does it know if I’m at home or at the office?

No. It doesn’t use your location. You confirm each day was at home, and you can leave out any session that was at the office.

What does it record about what I do?

Nothing. It records when your Mac is in use, never app names, window titles, URLs, screenshots, keystrokes or location.

Can I use it on more than one Mac?

Yes. With iCloud sync on, sessions from each Mac come together, and time when two Macs were in use at once is counted once.
