Attach bills and tick off the bills to keep
What the bills to keep checklist is for
The fixed rate method asks for at least one bill for each running cost the rate covers, alongside your hours. The checklist on the Year screen tracks those bills for each tax year, so you can see what’s missing before tax time.
It has four rows:
- Electricity or gas: one monthly or quarterly bill
- Internet: one monthly bill
- Mobile or home phone: one monthly bill, if you use your phone for work at home
- Stationery and ink: one receipt, only if you bought any
How to tick off a bill
Tick a row when you’ve kept the bill somewhere, even if you don’t attach it.
- Click the WFH Diary icon in the menu bar, then Open Diary.
- Choose Year in the sidebar. Use the arrows to move to another tax year.
- Scroll to Bills to keep.
- Tick the box next to each cost you’ve kept a bill for.
Each row shows a status: Attached, Kept, Needed (electricity or gas and internet, which apply to almost everyone), or If it applies (phone and stationery).
How to attach a bill
Attach a copy to keep the bill with your records. Attaching is free.
- On the Year screen, in Bills to keep, click Attach on the row for that cost.
- Choose one or more PDFs or images. Each file can be up to 25 MB.
- Or drag a file from Finder and drop it on the row.
The file appears under the row with its size and the date you added it. Click its name to open it in Preview.
The bill should be in your name. If it isn’t, keep proof you share the cost, such as a joint card statement.
How to remove a bill
Click the small cross next to the file name, then click Remove Bill. The file is deleted from this Mac and your iCloud. The cost stays ticked as kept, so untick it if you no longer have the bill.
Where bills are stored
Attached bills are kept with your records in your own private iCloud, so they appear on your other Macs when sync is on. Your PDF and CSV reports list each cost as attached (with the file names), kept but not attached, or not recorded.
